Knowledge Base

Connect Your Business Intelligence Directly to Your AI Agents

Knowledge in, precision out. Transform your static documentation into dynamic conversational context to ensure every interaction is accurate and professional.

What is an AI agent knowledge base?

An AI agent knowledge base is the set of documents a voice agent consults before answering, so its replies come from your actual policies, pricing, and product details rather than from the language model’s general training. It is what separates an agent that knows your business from one that sounds plausible and gets facts wrong.

Aimna implements this with retrieval-augmented generation. Uploaded documents and crawled pages are split into chunks and converted to vector embeddings. When a caller asks a question, the system retrieves the passages that genuinely relate to it and supplies them to the model as context for that specific answer — so the agent is reasoning over your material, not recalling it.

This directly addresses hallucination, the main risk in customer-facing voice AI. Because answers are grounded in retrieved passages, the agent can also recognise when nothing relevant exists and say so, or hand the call to a human, instead of inventing a confident answer that creates a support problem later.

Content is indexed within about a minute, so correcting a price or publishing a new policy updates what every agent says almost immediately, with no retraining and no prompt rewriting. Knowledge bases are assigned per agent and stored in private vector namespaces, encrypted, and never used to train public models.

Why Knowledge Base?

Moving Beyond Static Prompting

Hardcoding every business detail into a system prompt is fragile and unscalable. Aimna's Knowledge Base provides a dynamic secondary memory for your agents. By pulling relevant context in real-time, your agents remain grounded in facts, significantly reducing hallucinations and allowing for sophisticated, data-driven conversations that scale with your business.

1

Initialize Your Data

Start by heading to the Knowledge Base module and selecting the "Add" option. You can then choose how to feed information to your agent:

URL — Automatically crawl a specific page or your entire website. File — Upload your business documents in PDF, TXT, or DOCX formats. Text — Input custom guidelines or FAQs directly into the system.

Link to Your Agents

Connect your newly created knowledge sources within the agent configuration panel. Once linked, your AI agent will automatically reference this data to provide precise, context-aware responses during every conversation.

Validate Retrieval

Use the built-in testing environment to ask questions related to your uploaded content. The agent will pull facts from the Knowledge Base in real-time, requiring no manual prompt adjustments or hardcoding.

Questions & Answers

Most documents and URLs are indexed and ready for use in under 60 seconds. Larger batch uploads or full-site crawls may take a few minutes depending on the volume of content.

Yes. Aimna's retrieval-augmented generation (RAG) framework is model-agnostic. Whichever model you select for an agent — OpenAI, Anthropic, or Google — the retrieved context is integrated into the reasoning process the same way.

Absolutely. We use enterprise-grade encryption for all stored content and private vector namespaces. Your data is used exclusively for your agents and is never used to train public models.

The system prioritizes the most relevant and recent chunks of information. You can also organize knowledge bases by priority levels to ensure specific policies always take precedence.

PDFs, Word documents, plain text, and Markdown, alongside website URLs that Aimna crawls directly. Mixed sources are common: product PDFs plus a live pricing page keeps the agent accurate as the page changes.

The agent says it does not have that information rather than inventing an answer, and you can configure it to transfer to a human or take a message instead. Grounding responses in retrieved documents is what keeps a voice agent from confidently stating something false.

No. Documents are chunked and embedded automatically, so existing help centre articles, policy documents, and product sheets work as they are. Clear headings help retrieval, but no special formatting is required.

Yes. Knowledge bases are assigned per agent, so a sales agent and a support agent can draw on entirely separate material — or share a common base plus their own specialised one.
